Organising Meetings

Organising Meetings

Importance of attendance of Meetings:

The primary importance of a well-organized meeting is cost efficiency. Therefore, when meetings are thoroughly planned and organized, employees don’t have to waste time. A well-organized meeting also effectively allows management to address any pressing issues succinctly, informatively, and objectively.

1. We can collaborate better and share ideas.
2. To build and strengthen the team.
3. Meetings are a great way to resolve issues.
4. Helps to improve the creativity of the employees

Ways to Improve Meeting Effectiveness:
Stay on Topic
For a meeting to be effective and efficient, it is critical to ensure all participants stay on topic. This can be accomplished in at least three ways.
First, the presenter can ensure the discussion does not stray from the agenda items and adheres to the allotted time frame.
Second, the presenter can frequently remind the attendees of the meeting objectives, progress, and items yet to be addressed.
Third, the meeting organizer can reiterate critical discussion points and relate them back to agenda items when necessary.
Maintain Attention
In order for attendees to benefit from the meeting, all participants must be actively involved and attentive throughout the entire meeting. Regardless of team size, this can primarily be accomplished by allowing the participants to lead the meeting through the agenda items and discussion, while the meeting organizer simply guides them through the process. Second, the presenter can acknowledge and reinforce positive behaviours to encourage additional repetition and involvement.
Breaks:
A 10-minute break should be provided each hour to allow attendees to get situated, handle other business, and regroup their thoughts.

How to Run successful meetings?:

1. Be on time
2. Keep it short
3. Follow up

Common Complaints of Business Meetings:

Complaint #1: One or two people do all the talking

The solutionDuring an hour-long meeting, it's unrealistic that all participants will have equal floor time. But there are simple things you can do before, during, and after a meeting to ensure the conversation isn’t dominated by one or two people.
At the beginning of the meeting, clarify that you want broad participation and tell participants that you won't move on from a topic until everyone has had a chance to make a comment or ask a question.
During the meeting, ensure no one is taking the conversation hostage. If someone speaks too often or interrupts others, ask the person to hold that thought, then suggest someone else share their ideas. And if someone still manages to dominate the conversation, let them know after the meeting that you'd like participation to be more balanced in the future.

Complaint #2: The meeting should have been an email

The solution: If the majority of your meeting is spent on updates that could have been communicated via email, you have a problem. Respectfully voice this concern to the meeting organizer and offer to craft an agenda that prioritizes "topics that require the thinking and alignment of the group,".
To plan a productive meeting, ask your team which topics need to be discussed or what the team needs to learn. Articulate the desired outcome of the meeting and predict the amount of time each discussion topic will take.

Complaint #3: The meetings are redundant

The solution: When nothing gets done between meetings, you end up having the same conversations and setting the same goals over and over. Send out a summary after each meeting within the hour or by the end of the day clearly articulating next steps. Make sure someone is following up to track each person's progress on the assignment they were given and aim for an 85% completion rate. If you aren’t meeting your goal, come together to decide how to get back on track

Annoyances Customers complain

Top 5 annoyances customers complain about and the possible solutions to address it.

Every organisation desires to increase its customer base and never want to lose them at any cost. It is important to maintain good customer relations at all times. In a research, it is found that, for any big organisations or consulting firm, 80% of their revenue comes from their previous customers. So if we lose them, it will affect the growth of the organisation.
There are some reasons why customers usually feel annoyed about every time. This article explains them in detail.

Top five annoyances customers of my industry complain about and the solutions Navitas Professional Services offers are the following:

Unlimited call transfers or holds:
This is one of the important reasons why customer feel annoys about. Keeping the customer on hold for a long time than usual and wasting the time of customer really is not good. If the business grows, we need to increase the customer service team so that the customers will be quickly served and their time is saved.
In addition to this, the customers should be provided designated contact numbers to their issues instead of transferring calls to another number.

The customer felt Un-welcome:
One of the other main reasons for the annoyed customers is not showing welcome gestures like greetings or smile. When the customer arrives at the enquiry centre or near to the staff member, the staff should address them with a greeting and have a smiley face. Customers should not be waited for a long time to get attention from the staff. It is always a good idea to have at least two service desks. Just in case if the store is busy, they can use both and do service fast.

Responding to Customer complaints:
In order to increase customer satisfaction, every organisation should respond to customer complaints. In this modern age, customers may complain in any mode. It may be through Facebook, Twitter, Instagram or email. The organisation should respond to the complaint as soon as possible and ask for the details and resolve the issue.

Uninformed staff:
It is really unfortunate if the customers ask a question and the staff don't know the answer or don't know who should they address to. Every organisation should train its employees about their work and duties to be performed. Regular training sessions and meetings are to be conducted often.

Empathy:
The staff and customer service agents should show empathy towards the customer. The staff should listen to customer complaints and show empathy. This is the best way to control an angry customer. Instead of saying the customer that it is not my issue or it is not under my control, the staff should listen to the problem and suggest an appropriate solution or address them to the designated person in the team. It is always a good idea to say sorry if there is anything wrong.

LalitGate : Why has media suddenly gone into silent mode?

When certain details were leaked pertaining to BJP leaders Sushma Swaraj and Vasundhara Raje, in connection with former IPL Chief Lalit Modi,a privileged section of Indian media, which remained mute spectators to the misrule forced on the country during the last 60 years, suddenly started preaching the lessons of morality and propriety to BJP and Narendra Modi Government, asking for the resignations of these two leaders.
These so called media houses and their journalists have made it a 24 hour job to focus only on this news in order to defame not only the BJP Government, but also Lalit Modi to some extent. There is no doubt that these media houses were not acting on their own and there were definitely some vested political interests, which were providing motivation to these media house to run these stories of "morality and propriety" round the clock. However, if we look at the complete chain of events, we will find that in this particular episode, media stands exposed more than any other political party or their leaders. Never in the Media and Press history, the credibility of media was allowed to be eroded to such an extent in such a shameful manner.

The purpose of writing all this story is to show how this section of media completely got exposed before the people of the country, that those who were very fond of asking anything from anyone by saying that-"Nation wants to know", suddenly came on the back foot as people now started asking them the real motives behind this story as they suddenly went into silent mode, when the names of many more leaders were revealed by Lalit Modi in his subsequent tweets. Those media persons who were chanting "Shushma-vasundhara" on 24 hour basis asking for their resignations, suddenly got a shock of their life when subsequent exposures were made by Lalit Modi disclosing the names of Sonia GandhiRahul GandhiPriyanka Gandhi and Robert Vadra, apart from the AAP leader Rahul Mehra.
The moment, the names of these five persons were revealed (one by one), our so called media and their talented media persons, started running for cover and it appears that they all have gone into silent mode, for the time being, waiting for some more opportune time to hit back at Lalit Modi, who has spoiled their party by making the subsequent tweets. The same learned media persons who were saying that that Lalit Modi is a big criminal, corrected themselves to call Lalit Modi a "Master Puppeteer"
Before, I conclude this article, it would be unfair if I do not ask what people of this country want to know from this section of media :
1.Why Media suddenly went into silent mode, immediately after the names of leaders belonging to Non-BJP parties were revealed by Lalit Modi?
2.Why Media is calling Lalit Modi a Criminal when none of the Courts of the Country have not issued any order against him?
3.Even if it is assumed that Lalit Modi is a criminal, any help extended to the criminal or his family members on humanitarian grounds should be treated as a crime?
4.If the answer to the Question number (3) is "Yes", then whether any help extended to convicted criminals like Lalu Yadav or his family members by any political leader should also be treated as a crime?
5.Media is asking PM Modi to speak on this issue and break his silence. Why the same media did not have the guts and courage to ask the same question during the last 60 years (and more particularly during the last 10 years of misrule) when the nation was suffering from a series of scams and our then PM Dr.Manmohan Singh consistently remained silent?
6.After Lalit Modi started to reveal the names of the non-BJP leaders, one of the media persons has tweeted-"Feel like @LalitKModi is a Master Puppeteer directing a drama without an end in sight. One that is generating more heat than June's weather" My question is whether there are some mediapersons playing as "Puppets", apart from some politicians, in the hands of Lalit Modi ?
These questions assumes significance, because this section of media has completely eroded its credibility while mishandling this issue and only the honest answers to these questions can restore the lost credibility of this section of media. People of the country are eagerly waiting for the answers and the Nation also wants to know the whole truth from this "Now Silent" media!

These Jokes Are For Intellectuals Only.

I love a good smart joke, even if they sometimes take me a minute to figure out. Here’s my favorite 20:

1. Einstein, Newton and Pascal are playing a rousing game of hide and seek. Einstein begins to count to ten. Pascal runs and hides. Newton draws a one meter by one meter square in the ground in front of Einstein then stands in the middle of it. Einstein reaches ten, uncovers his eyes, and exclaims “Newton! I found you! You’re it!” Newton replies “You didn’t find me. You found a Newton over a square meter. You found Pascal!”

2. A mathematician and an engineer decided they’d take part in an experiment. They were both put in a room and at the other end was a naked woman on a bed. The experimenter said that every 30 seconds they could travel half the distance between themselves and the woman. The mathematician stormed off, calling it pointless. The engineer was still in. The mathematician said “Don’t you see? You’ll never get close enough to actually reach her.” The engineer replied, “So? I’ll be close enough for all practical purposes.”

3. A buddhist monk approaches a burger foodtruck and says “make me one with everything.” The buddhist monk pays with a $20 bill, which the vendor takes, puts in his cash box, and closes the lid. “Where’s my change?” the monk asks. The vendor replies, “change comes from within”.

4. Jean-Paul Sartre is sitting in a cafe revising his first draft of Being and Nothingness. He says to the waitress, “I would like a cup of coffee please. No cream.” the waitress replies, “I’m sorry sir, but we’re out of cream. How about with no milk?”

5. Werner Heisenberg, Kurt Godel, and Noam Chomsky walk into a bar.
Heisenberg turns to the other two and says, “‘Clearly this Is a joke, but how can we figure out if It’s funny or not?”
Godel replies, “‘We can’t know that because we’re inside the joke …
Chomsky says, “Of course it’s funny. You’re just telling It wrong.”

6. It’s hard to take kleptomaniacs and puns seriously. Why? They take things literally.

7. What do you get when you cross a joke with a rhetorical question?

8. Three logicians walk into a bar. The bartender asks “Do all of you want a drink?” The first logician says “I don’t know.” The second logician says the same. The third says “Yes!”

9. A Roman walks into a bar and asks for a martinus. “You mean a martini?” asks the bartender. The Roman replies, “If I wanted a double, I would have asked for it.”

10. Another Roman walks into a bar, holds up two fingers, and says “Five beers please!”

11. A logician’s wife is having a baby. The doctor hands the baby to the dad. His wife asks if it’s a boy or girl. The logician replies “Yes.”

12. Boy I tell ya, entropy ain’t what it used to be.

13. How do you tell the difference between a plumber and a chemist? Ask them to pronounce unionized.

14. Why do engineers mix up Christmas and Halloween? Because Oct 31 = Dec 25

15. Pavlov is at a bar enjoying a pint. The phone rings and he shouts “Oh! I forgot to feed the dog.”

16. Helium walks into a bar and orders a beer. The bartender says, “Sorry, we don’t serve noble gases here.” Helium doesn’t react.

17. Shrodinger’s cat walks into the bar and doesn’t.

18. A Higgs Boson walks into a church. The priest says “We don’t allow Higgs Bosons in here.” The Higgs Boson replied, “Well, without me, you can’t have mass.”

19. A programmer’s wife asks him to pick up a loaf of bread and, if they have eggs, get a dozen. The programmer comes home with a dozen loaves of bread.

20. There’s a band called 1023MB. They haven’t had any gigs yet though.

What are Police limits? Misuse of Power by SOME Indian Police officials

Using Police Power to hurt or torture normal citizens acceptable??

We regularly see the cops using their power and do some extremist things. These include jumping of signal, show special respect by the shop keeper and allow their work done first, accept them to move even though hey dont wear helmet but stop other citizens for other reasons.

To do even a small amount of work they need commission in it (Bribes). Or else our work will be kept in pending or they even dont do that work.

Even the presence of some good laws like Janlokpal and Lokayukta the corruption cannot be stopped in India. This is because of absence of strong implementing body.

This situation is not only in India, but also can be seen in countries like USA. Ferguson Incident is the perfect example for this.Where tere are also other issues like racism in it, it also includes police extremism.

The following video shows the incident that occurred in India in just few days back. Where some group of policeman damaged some vehicles. May be the only reason for that action is it may be parked in some wrong area. But let me say that by parking in that area, there is no chance for the traffic obstruction. and they were parked in some outside the road.

We came across this raw footage, didn't find much of the detail. However it surely is from India. This incident shows that how police can go on rampage destroying private property and go scot-free. We didn't see any reason they should have damaged someone’s vehicles: Road seem to be empty, there was no crowd. May be that was 'No Parking Zone', but that doesn't give them permission to destroy public vehicles.

If you have any information regarding this, kindly leave your valuable comments or inbox us.
This is clear case of vandalism and abuse of power. Until and unless police does makeover and change its image, there is no hope for safe India.

Long journey from Hyderabad- Khammam- Hyderabad on Bike

Long trip from Hyderabad- Khammam- Hyderabad on Bike

         A trip to remember

Knowing it is risk to travel at night, as I know it is going to be late night to reach Khammam which is 200km from Hyderabad. And if any trouble occur in middle, it will be one of the worst things in my life.

I know my bike is not in good condition to travel such a long distance. But I took risk and started my journey on 28th August afternoon (3:30PM).

As soon as I crossed city limits, it started heavy rain. (There has been persistent rain from last couple of days). There started my adventurous ride. I drove in rain for 50KM. Then it stopped. Finally At 6:00 I reached Suryapeta. I still need to go 60KM.

As it is going to be dark, I need to reach home quickly and I need to travel 60KM more, out of which 30KM is in forests.

At around 7:00 my bike tyre burst out. There is no one around and I moved with it slowly for 4KM and found a cowherd. When I asked for help he gave directions and I finally reached mechanic shop. It took minutes to change tube and finally at 8:30 I started to khammam which is about 40KM from there.

    Finally reached home by 9:30PM.

Return journey is somewhat good. Started on Sepember 1st. There is no rain, no tyre-tube bursts. And I got some people to give lift on my way to have some company with them.

Middle East countries- Low developed nations

Middle East countries- Low developed nations

Why despite having vast natural resources Middle East countries are less developed (except Dubai, UAE etc)?

Why small countries like Switzerland, Luxembourg etc., were well developed than those of Iraq, Syria, Iran, and Egypt?

Why Egypt is still underdeveloped though it has thousands of years of glorious civilisation?

Why Middle East countries are most politically unstable?

Why groups like ISIS, Boko haram, al-Qaeda mainly originate in Middle east or Muslim countries? and why they fail to control it?

Of course many Middle Eastern countries are ruled by colonial powers before world war 2 but it has been almost 70 years that the war ended.  Is this time not sufficient for those countries to at least get to a stage of “developing” countries??

The reason for their backwardness is because they did not or could not concentrate on leadership development, they needed for their future. Consequently, due to poor leadership and management and lack of good governance they have been making less progress. It is not destiny but self-imposed poverty.

Despite having richest natural resources like natural gas in those Muslim countries and covering large area from Morocco to Indonesia except countries like Israel, India they occupy large areas.  They produce almost 50% of the oil of the world.

Despite being developed, countries like UAE and Dubai were still following old religious beliefs. I'm not saying it as wrong. But as the time changes, we should also change. like

Why they are still not allowing women to drive cars?

Why they still oppose women who wear modern  dresses?

Why they accept the rules like "Men can follow Polygamy but not women Polyandry"?

If those countries take up referendum on such issues, those governments will surely fail in those referendum.

Another thing is that many countries don’t follow Democracy. This causes indifference between the ruler and people.  If the people directly elect the ruler then it is that he selects ruler as per his ambitions and the ruler will follow as per the people because of fear towards the nation.

Of course the countries which follow democracy also fail in it because of absence of strong leadership. This can be easily seen in Pakistan, Afghanistan etc.,

Another problem in the Muslim countries is unequal distribution of wealth. While the ruler has Billions of dollars of wealth but the people don’t even have food to fill their stomach. This also causes agitation among people. Muammar Gaddafi of Libya, Tunisia, Algeria, Somalia, Sudan were well known examples.

Hence a good leadership and good government is necessary for any nation to prevail which is absent in many Muslim nations.

Hello everyone...

Though I'm regular web user, I didn't try to spend any time on creating or writing blogs any time. But from past couple of days, I’m planning to write a lot. But that doesn't mean I'm going to write in book about my thoughts and publish it. I'm sure even I did it don’t be success in doing it so. So I planned to write a blog.

I used to create posts regarding renewable energy sources and posts related to technology collected from various sources in my previous blog. (You can view it in http://vigneshwarbalay.blogspot.in/ ).  But in this blog, you don’t find any such posts and will contain only random thoughts. :P  LOL
